Most cold-email failure isn’t a copywriting problem — it’s a delivery problem. You can write the perfect opener, but if Gmail files it under Promotions or Microsoft 365 drops it into Junk, the prospect never sees it. Open rates quietly collapse, replies stay at zero, and the team blames the offer when the real culprit is missing SPF records, a brand-new domain fired at full volume, or a list full of spam traps.
We treat cold email as infrastructure first. Our job is to make sure the authentication, sending architecture, and reputation signals all tell inbox providers your mail is legitimate — before any sequence goes out.
The DNS foundation: SPF, DKIM, and DMARC
Every deliverability engagement starts with authentication. SPF tells receiving servers which IPs are allowed to send for your domain. DKIM adds a cryptographic signature proving the message wasn’t tampered with in transit. DMARC ties the two together and tells providers what to do when a message fails both checks.
We configure all three on your sending domains, then graduate the DMARC policy from p=none (monitor only) through quarantine to reject as reputation stabilises. Skipping this step is the single most common reason cold email lands in spam — inbox providers can’t verify you, so they default to distrusting you.

If you send cold outreach from yourcompany.com, you’re betting the whole domain’s reputation on a channel with naturally high complaint rates. One bad list, one spam-trap hit, and your regular company email — invoices, support replies, sales conversations — starts landing in spam too. Recovering a burned primary domain can take months.
Instead we procure and configure dedicated sending subdomains (or secondary domains) for outbound. If a sending domain takes a reputation hit, only that domain is affected, and we rotate it out without touching your day-to-day email. That isolation is non-negotiable for sustainable cold outreach.
Domain warming and sending-volume discipline
A new sending domain that suddenly fires 500 emails a day gets throttled or listed on Spamhaus within the week. Inbox providers need to see gradual, human-looking volume growth before they trust a sender.
We warm each sending domain on a controlled ramp, increasing daily volume only as bounces, complaints, and reputation stay inside safe bands. This sets the real go-live timeline: DNS can be fixed in days, but two to four weeks of warming is normal before you reach target volume. There’s no shortcut that doesn’t end in a blocked domain.
List quality and spam-filter triggers
Deliverability is only half technical — the other half is who you send to and how the message reads. We verify every list through tools like ZeroBounce or NeverBounce before sending, stripping invalid addresses and known spam traps, because high hard-bounce and complaint rates are reputation killers that no DNS setup can offset.
We also review content against the common triggers that push mail into spam:
- Spammy subject lines and excessive capitalisation
- Image-heavy templates with very little readable text
- Broken or redirecting tracking links
- One large link instead of a natural, plain signature

You can’t fix what you don’t measure. We wire up Google Postmaster Tools and Microsoft SNDS so domain reputation, spam-trap hits, and complaint rates are visible rather than guessed at. Ongoing seed-list testing tells us whether your mail hits the Gmail Primary tab or gets buried in Promotions and Updates — a distinction that changes reply rates dramatically.
This monitoring feeds back into cadence. If reputation dips, we throttle volume. If placement drifts to Promotions, we adjust content and authentication. Deliverability isn’t set-and-forget; it’s a feedback loop.
